How to use the time card calculator

  1. Pick Weekly or Biweekly as your pay period.
  2. Type the time in and time out for each day you worked. Shifts that end after midnight are handled for you.
  3. Enter any unpaid break in minutes, such as a 30-minute lunch. Short paid breaks of 5 to 20 minutes should not be entered.
  4. Add your hourly rate to see gross pay. Overtime starts after 40 hours a week by default.

Example: a 44-hour week

Maria works Monday to Friday from 8:00 AM to 5:18 PM with a 30-minute unpaid lunch. Each day is 9 hours 18 minutes minus 30 minutes = 8 hours 48 minutes (8.80 hours).

Five days = 44 hours: 40 regular hours and 4 overtime hours. At $18.00 an hour, regular pay is 40 × $18 = $720. Overtime pay is 4 × $27 (1.5 × $18) = $108. Gross pay is $828.00.

How time card hours are calculated

For each day, the calculator takes the time out minus the time in, then subtracts unpaid breaks. It adds the days together for the week and converts the total to decimal hours by dividing the minutes by 60 (45 minutes = 0.75 hours).

Under the federal Fair Labor Standards Act, most hourly employees must be paid at least 1.5 times their regular rate for hours worked over 40 in a workweek. Some states add daily overtime; California, for example, also pays overtime after 8 hours in a day. Use our overtime calculator for more detail.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the time in from the time out for each day, take away any unpaid breaks, then add the days together. For example, 8:00 AM to 4:30 PM with a 30-minute lunch is 8 hours.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes = 0.25, 30 minutes = 0.50, 45 minutes = 0.75. So 7 hours 45 minutes is 7.75 hours. Try the hours to decimal calculator.

Does the calculator handle overnight shifts?

Yes. If the time out is earlier than the time in (for example 10:00 PM to 6:00 AM), the calculator treats it as a shift that ends the next day and counts 8 hours.

When does overtime start?

Under federal law, overtime starts after 40 hours worked in a workweek, paid at 1.5 times the regular rate. You can change the threshold and rate in the settings if your state or employer uses different rules.

Should I include lunch breaks?

Enter only unpaid breaks, usually meal breaks of 30 minutes or more. Short rest breaks of 5 to 20 minutes are normally paid work time under federal rules, so leave them in.

How is biweekly overtime calculated?

Overtime is worked out for each week on its own. You cannot average two weeks together: 50 hours in week 1 and 30 in week 2 still gives 10 overtime hours.
